Contract: Full-time employment (permanent)

Reports to: Head of Operations

Location: Mon-Thur at our office (80 Strand, London) with the option to work remotely on Fridays

Working hours: Full-time (40h/week)

Salary: £30,000 - £35,000, depending on experience

Pension: 5% employer contribution

Holidays: 25 paid elective holidays + 8 bank holidays


Key Responsibilities:

Operational Process Implementation and Efficiency

1.1 Assist in documenting, refining and maintaining internal processes for delivering the Organisation’s services.

1.2 Support the Head of Operations in implementing systems to improve operational efficiency, including the use of AI tools where appropriate.

1.3 Track and maintain internal task lists, workflows and operational templates.

1.4 Help gather and maintain metrics and internal data to support performance tracking.

Event Coordination

2.1 Assist with the organisation and delivery of internal and external events.

2.2 Coordinate logistics, including invitations, RSVPs, venues, catering, travel, merchandise and equipment.

2.3 Ensure smooth delivery on the day, including setup and take-down.

2.4 Support audiovisual recording and follow-up tasks, including attendee surveys and post-event reports.

2.5 Continually maintain and expand the venue directory.

Office and Facilities Management

3.1 Maintain a tidy, well-equipped and professional office environment.

3.2 Manage the purchasing of office supplies, equipment and subscriptions.

3.3 Track and manage inventory of supplies, technology and printed materials.

3.4 Liaise with suppliers providing services such as printing, internet and cleaning.

3.5 Ensure first aid kits, fire safety procedures and office risk assessments are kept up to date.

Administrative and General Operational Support

4.1 Provide administrative support to the Head of Operations and wider team as required.

4.2 Maintain and manage internal documents, systems and trackers.

4.3 Manage shared email accounts and support the timely distribution of publications to subscribers.

4.4 Assist with scheduling, meeting coordination, note-taking and action tracking.

4.5 Contribute to the maintenance of brand materials, website updates and stakeholder lists.

4.6 Support the tracking of invoices and receipts.

CRM and Impact Tracking

5.1 Continually maintain and refine the CRM, including adding new members of the Organisation’s network.

5.2 Use AI tools to capture, organise and maintain data within the CRM.

5.3 Track media coverage and policy impact relating to the Organisation’s publications.

Person Specification

The successful candidate will be:

  • Highly organised, detail-oriented and reliable.
  • A strong written and verbal communicator.
  • Proficient in technology and tools that improve workplace efficiency, such as ChatGPT, or able and willing to learn new systems quickly.
  • Comfortable undertaking administrative tasks and managing operational processes.
  • Proactive, with a can-do attitude and a willingness to take ownership of practical work.

Experience in event coordination, office administration or communications is desirable but not essential.

Progression

The role may grow over time to include additional responsibilities in finance, legal matters or HR, depending on the Organisation’s needs and the postholder’s development.

The Organisation is growing quickly, and new opportunities and responsibilities may therefore arise within the scope of the role that are not listed above.
