Reports to: Chief Operating Officer

Location: Hybrid, with regular in-person work (minimum three days per week) required at our office, 80 Strand

Working hours: Full-time (open to part-time and flexible working for the right candidate)

Salary: £30,000 - £35,000, depending on experience

Pension: 5% employer contribution


Key Responsibilities

  1. Operational Process Implementation and Efficiency
    1.1 Assist in documenting, refining and maintaining internal processes for delivering the Organisation’s services
    1.2 Support the COO in implementing systems to improve operational efficiency
    1.3 Track and maintain internal task lists, workflows, and operational templates
    1.4 Help gather and maintain metrics and internal data to support performance tracking

  2. Event Coordination
    2.1 Assist with the organisation and delivery of internal and external events
    2.2 Coordinate logistics such as invites, RSVPs, venues, catering, travel, merchandise, and equipment
    2.3 Ensure smooth delivery on the day, including setup and pack-down
    2.4 Support with audiovisual recording and follow-up tasks such as attendee surveys and post-mortem reports

  3. Office and Facilities Management
    3.1 Maintain a tidy, well-equipped, and professional office environment
    3.2 Track and manage inventory of supplies, tech, and printed materials
    3.3 Liaise with suppliers for services such as printing, internet, and cleaning
    3.4 Ensure first aid kits, fire safety procedures, and office risk assessments are up to date

  4. PR and Media Coordination
    4.1 Help maintain and update the Organisation’s press list
    4.2 Support the coordination and timely sending of press releases
    4.3 Assist with basic spellchecking and dissemination of press and comms materials

  5. Administrative and General Operational Support
    5.1 Provide administrative support to the COO and wider team as needed
    5.2 Maintain internal documents, systems and trackers including media and impact tracking
    5.3 Assist in scheduling, meeting coordination, note-taking, and action tracking
    5.4 Contribute to the maintenance of brand materials, website updates, and stakeholder lists

Person specification

  • Highly organised, detail-oriented and reliable
  • Strong written and verbal communication skills
  • Proficient in tech tooling that improves efficiency at work (e.g. ChatGPT) or shows a willingness and/or ability to quickly learn new systems
  • Comfortable with admin tasks and operational processes
  • Proactive, can-do attitude with willingness to take ownership of practical work
  • Experience in event coordination, office admin or communications is desirable but not essential

Progression
The role may grow over time to include more responsibilities in finance, legal or HR, depending on the Organisation’s needs and the postholder’s development.
